    Detailed Job Description
    The Staff Assistant in the Department of Software Engineering is a part-time position working 20 hours per week for 12 months per year, but they play a key role in the department in providing support for the undergraduate program.
    Specific responsibilities include:

    • Managing and maintaining undergraduate student records
    • Processing undergraduate forms- ensuring accuracy and completeness, gathering signatures, and submitting
    • Ensuring eligibility and registering students for co-op
    • Reviewing applicant status reports and providing updates to academic advisors and leadership
    • Providing support to academic advisors by running reports, gathering information and data, inputting advisor assignments, providing backup for their advising appointment calendars
    • Planning meetings and keeping records for the undergraduate curriculum committee

    The Staff Assistant will be the primary point of contact for the Society of Software Engineers, a highly active student group. They will assist with club purchases, scheduling review sessions, printing, and other assistance as needed.

    Additionally, the Staff Assistant will work with the student office assistants and the Senior Staff Specialist to greet visitors to the office, answer phones, assist with the sale of class materials kits, and create room reservation and facilities maintenance requests.

    The Staff Assistant will also serve as a back-up for other tasks such as providing administrative support for the director and undergraduate program coordinator, managing student time-cards, and handling faculty requests.

    The Department: The Department of Software Engineering offers the Bachelor of Science and Master of Science degrees in Software Engineering with current undergraduate enrollment of 550 and graduate enrollment of 50 students. The department also offers a Master of Science degree in Data Science. The undergraduate Software Engineering program has been accredited by ABET since 2001, most recently renewed in 2016.

    Minimum Qualifications

    • Two years of related office experience in an administrative support position, preferably in higher education.
    • Intermediate skills in Microsoft office, (Word, Excel and PowerPoint), Outlook and Google docs, spreadsheets.
    • Proven ability to work independently, exercise professional judgment and decision-making and respect confidentiality.
    • Attention to detail and follow-through skills
    • Outstanding customer service skills and ability to engage with students, faculty, staff and campus visitors
    • Ability to establish, build, and maintain effective working and collaborative relationships with campus partners.
    • Excellent interpersonal skills.
    • Evidence of organizational and problem-solving skills

    PREFERRED EXPERIENCE:

    • Intermediate-level proficiency in the use of PeopleSoft and Kronos.
    • Experience with academic policies and practices, student tracking and record keeping systems
